Estate agencies · Costa del Sol

Every lead goes through a phone. And that phone is in a viewing.

Prime Automations audits an estate agency, marks the point where the lead stalls, and builds the system that carries it to the viewing while the agent is in another one. Every system on this site is running.

Where the lead stalls.

The call.It rings while the agent is showing a penthouse. The buyer tries the next agency on the portal.
The reply. The lead comes in on Tuesday at eleven at night. The first reply goes out on Thursday.
The viewing. It gets booked, nobody confirms it, and on Saturday the agent waits alone at the door.
The follow-up.The lead who said «in a couple of months» never hears from anyone again.

All four stall on the same phone.

One call. One map. One bottleneck.

La máquina terminada, en marcha

From the map to a running system.

Map. One hour. One drawing. One red dot.
Build. Assembled with your listings and your real leads, and you test it like the systems on this site.
Try it. Message it from your phone. Try to fool it.
Handover. It runs on your number, your WhatsApp, your agents' diaries. They change nothing.
Tuning. Every conversation gets read. Weekly changes until the odd cases run out.

The same work. Now it turns instead of piling up.

The automations take everything. Only what needs the agent reaches the agent.

How it works

From lead to viewing, without going through the agent's phone.

It comes in.

The lead writes from the portal, the website or WhatsApp, at any hour, in their own language.

It gets qualified.

A reply in under a minute, in the buyer's language. Area, budget, timing, mortgage.

It gets booked.

The viewing lands in the right agent's diary, without anyone making a call.

They show up.

A reminder the day before and the morning of the viewing. No confirmation, and the slot is released.

The agent walks into the viewing. The rest is already done.

Try it

Two running systems. Try them.

No. 02

A receptionist that already knows your agency.

Try this: ask it what you do and where you work.

It's a program. It says so.
Get a call from itYour website and your Spanish mobile. It rings in under a minute.

What else the audit finds

The phone and the leads are where it starts.

  • Who asked about which listing.Every buyer stays tied to the listings they asked about and the agent who answered them. Nobody goes cold because someone forgot.
  • New listing, earlier buyers.A listing comes in and the buyers who were after exactly that hear about it first.
  • The owner's update. The week's viewings, enquiries and feedback, written up for the owner and ready for the agent to check and send.
  • Stale prices, duplicate listings. It reads the published portfolio and flags prices that don't match and listings that appear twice.
  • After the viewing. The follow-up to the buyer and the note to the owner, drafted as soon as the agent walks out.
  • Listing descriptions.Written from the photos and the listing's details, in every language you publish in.
  • Winning new listings.Finding owners who want to sell, and making the first move before the agency next door.

None of this is running on this site. The audit shows which ones are worth it in your agency, in hours a week.

Who builds it

Proven first at Footfay Academy.

Everything on this site started at Footfay, a residential football academy with players from fourteen countries. Prime Automations built the whole client journey: from the ad to the airport pickup, and everything after it. Today the academy turns over six figures.

  1. 01Capture

    • Ad to booking.Meta ads open a booking page. The lead picks a time, and the Zoom call is created and the invite sent on its own.
    • Instagram and Facebook DMs.An AI agent answers from the academy's knowledge base and hands the lead over.
    • Half-finished bookings.Started and stopped? One WhatsApp message, a few minutes later.
    • A fair split. Each new lead goes in turn to the closers who speak its language.
  2. 02Qualify

    • A fit score, 0 to 100.Built from what the won and lost deals had in common. It flags the impossible dreams straight away.
    • A WhatsApp agent.Writes minutes after the booking and finds out goal, dates, visa and who decides. Steps back the moment a person replies.
    • The ads learn. Each booking's expected value goes back to Meta, so the ads go looking for serious families.
    • Silent leads cleared. No reply, no call: a polite message, the Zoom cancelled, the slot open again.
  3. 03Brief the closer

    • A call plan.Written by AI from a knowledge base of eight top closers' scripts and objection playbooks: the opener, the questions, likely objections with answers, the route to the close.
    • A brief on Discord. Before the call the closer knows who will be on it, the goal, the dates, the visa, and whether the partner joins.
    • Today's calls.Every morning, each closer's list with times and Zoom links.
    • Nobody forgotten.A booked lead nobody has contacted within the hour alerts the closer, then the managers.
  4. 04The call and after

    • Reminders.WhatsApp 24 hours, 1 hour and 10 minutes before, with a video from the head coach.
    • No-shows caught. No recording 30 minutes in: an email and a WhatsApp to the lead, an alert to the closer.
    • Every call read.Transcribed, scored and reviewed to coach the closer. A coaching summary every Monday.
    • Follow-up.The brochure, then days 1, 3, 7 and 14. After that the closer is told and the lead is filed.
  5. 05Onboarding

    • Payment closes the loop.A Stripe payment turns the lead into a client: the receipt, the welcome emails, the sale reported back to Meta.
    • Paperwork. The passport form on day two. An invitation letter only for the nationalities that need a visa.
    • Before arrival.Emails on the plan, the first week and homesickness, for the parents too.
    • The pickup. The driver is reminded 48, 24 and 2 hours before the flight lands.
  6. 06The stay and the office

    • A player app.An invite by WhatsApp, the player's diary, the coaches' evaluations every Friday.
    • Development plans.Written by AI from the test results, renewed every week. A weekly report to the player and the parents.
    • Payments.Every evening the instalments that are due go out and the payments are matched. The accounts export overnight.
    • Kitchen and staff.Tomorrow's meal count goes to the chef. Staff alerts are sorted into six channels.

Figures from Footfay's own database, October 2026.

Alphakore: a construction company, run from one app.

  1. AHours, per worker and per project

    • The manager sets it up.He adds every worker and every project in his own app.
    • The workers clock in.Each one logs in and records his hours against the project he is on.
    • The office sees it all.Exactly what each worker and each project costs.
  2. BA quote in minutes

    • The room's dimensions.Bathroom, kitchen or any room: the dimensions go in.
    • Three finishes.Standard, mid-range or luxury. Every material for every job is already priced.
    • The client gets it straight away. The offer and the invoice go out in minutes, where working them out used to take a long time.
